Executing ACH payments is fast, efficient, and easy with PrintBoss.

Automatic clearing house (ACH) is a nationwide electronic funds transfer (EFT) system that provides for the inter-bank clearing of credit and debit transactions and for the exchange of information among participating financial institutions. Direct paycheck deposits and debit card purchases are two examples of electronic fund transfers that go through this network.

ACH file specifications are established by NACHA – The National Automated Clearing House Association. PrintBoss 5.65.1 and above contains a file with the standard NACHA specifications for use with PrintBoss. This file is accessed through the Positive Pay feature in PrintBoss.

The ACH file created by PrintBoss is compiled from data stored in the ACH Definition section of the Bank Account record, a Payee List, and the check/EFT batch being processed. Complex scripting attached to the PrintBoss check form creates the file. A user will almost never need to edit the script. Instead they will simply enter specific information which will be used in the ACH File Header Record, the ACH Company/Batch Record and the PrintBoss Payee List. The rest of the required information will come from the check/EFT batch as it is processed.

Implementation Steps

1. Complete the ACH Definition record from the appropriate Bank Account
2. Create a Payee List
3. Establish the method you want to use to match the Payee with the Payee entry on the list
4. Create the ACH copy type in the appropriate PrintBoss Form
5. The ACH file is created automatically during the print process.

The ACH file created by PrintBoss is compiled from data stored in the ACH Definition section of the Bank Account record, a PrintBoss Payee List, and the check/EFT batch being processed. The ACH Definition tab is found on the Bank Edit screen of PrintBoss. Data is entered on this tab which will be used to create the File Header Record fields and the Company/Batch Record fields for the ACH file according to the NACHA Operating Rules and Guidelines.

The following are steps for completing the ACH Definition tab on the Bank Record.

1. Open the PrintBoss Master Application.
2. Click on the Edit menu and choose Bank List.
3. Select the bank for ACH and click the Edit Bank button. Click on the ACH Definition tab.

There are two methods for building a PrintBoss Payee List. One is to import the data from a .csv file. The other is to assign specific information directly from the accounting software and supplement it with a short Payee List entry.

Common errors that may occur when printing an ACH file.

Unable to Open the Positive Pay File
This error occurs when the Positive Pay File is not assigned in the form or the setting was not saved in the form. One solution is to embed the ACH file in the form.

No Detail Records in the Output

The detail or “6” records are created during the printing of the check batch to PrintBoss. The following could cause some or all of the detail records to be skipped:
· Payee List not active on the ACH Definition tab of the bank record.
· No Payee List assigned on the ACH Definition tab of the bank record.
· No matching record in the Payee List. PrintBoss looks for an exact match of the data stored in the Payee List field with the data assigned in the PrintBoss Form to the {DocRecip} variable.
· The matching Payee record on the Payee List is not set to Active or True.
· The Mode on the Payee List is not set to Remainder of check. Percent or Set Amount may also be used if a corresponding value less than 100% of the check amount is entered in the Amount / Percent field for the appropriate account on the Payee List.

Bank Requires a Balancing Entry

Occasionally a bank requires an offsetting debit or credit entry that results in a value of zero when all the 6 records are totaled. Select the Balanced File check box on the ACH Definition tab of the PrintBoss bank record and fill in the 3 fields in the Balanced File column prior to printing the check batch. PrintBoss will automatically create the offsetting “6” entry at the end of the detail section of the ACH file.

Exception for Length of Immediate Origin

On rare occasion, a bank may require 10 digits for the Immediate Origin number instead of the 9 prescribed by NACHA. The solution is to replace the space preceding the string on line 6 of the SignOn tab with the extra first digit. This should only be done with the assistance of a Wellspring Software technician.

Bank Fails ACH File

Typically a failure is caused by incorrectly entering a value in the ACH Definition tab. Examples include:
· Incorrect Immediate Destination number
· Incorrect Immediate Origin number
· Failure to remove checkmark from Pre-Note option of bank does not use the Pre-Note option
· Incorrect Company Identification
· Incorrect Originating DFI Identification
Other causes include:
· Failure to remove checkmark from Pre-Note option on the Payee List
· In versions of PrintBoss prior to 5.70, the file creation time may not be properly padded. The result is creation times earlier than 10:00 a.m. appear as 3 digit entries instead of 4. The entry on line 8 of the SignOn tab should be: "{Pad:«{RecTime:hhmm}»,4,T,'0'}" to always display a 4 digit number.
· Versions of PrintBoss prior to 5.70 may not calculate the ACHBatchHash or ACHFileHash correctly. These values can be found on record “8” of the ACH output file starting at position 11 for 10 characters and record “9” starting at position 22 for 10 characters, respectively. These values should match when there is only 1 batch in the file.

The data used to create the payee Detail records for the PrintBoss ACH file comes from one of two places: the PrintBoss Payee List or by capturing fields on the check report and assigning that data to specific elements required to be part of the ACH file. Regardless of how the data populates the payee Detail records the PrintBoss Payee List will have to be updated as changes occur to the list of vendors and employees.

1. Open the PrintBoss Master Application.
2. Click on the Edit menu and choose Payee Lists.
3. Select a Payee List and click Editor to modify a Payee List. Double-click on an entry and make the required modifications to the Payee List Edit screen

Postive Pay Files

An increasing number of banking institutions are offering a service often called Positive Pay for check fraud protection. This is a formatted text or csv file listing all valid checks written on a bank account. The file is transmitted to the bank and only checks identified in this file are cashed by the bank. If the bank receives checks that are slightly different, the bank will not accept the checks.

PrintBoss can generate a Positive Pay file for each check in the batch. The PrintBoss form must be edited to add a copy to enable this feature. The copy is designated as a Positive Pay file. The structure of the Positive Pay file is designed to match individual bank requirements. Rarely are requirements the same for different banks. Contact Wellspring Software, Inc., to provide a quote on the cost to create a Positive Pay file if you would like assistance.

Duplicating Signature Disks

PrintBoss can place digitally scanned signatures on checks to be printed. These signatures can be printed conditionally based on a number of variables. The most common conditions are bank account or dollar value of the document. PrintBoss reads BMP, JPG, and PCX file types.

Saving a signature file to a disk adds a level of security by requiring the disk be inserted in the computer to add the signature file(s) to checks. Wellspring Software offers a PrintBoss Signature Disk that provides additional levels of security to the signature printing process. First, the signature file type can only be read by the PrintBoss software. Second, the file is encoded so it requires the secure disk/CD/USB be inserted in the computer to use the PrintBoss signature. The PrintBoss Signature Disk is the key to unlock the encoded signature file. The disk is also encoded so a standard Disk Copy will not duplicate the disk. This additional security level prevents the scanned signature file from being used fraudulently in other programs or by unauthorized personnel even in PrintBoss.

Activating PrintBoss from Demo Copy

A demo version of PrintBoss can be registered as a full version by following these steps:

1. Navigate to the PrntBoss home directory and locate Setup.exe

2. Double click on or run Setup.exe.

3. Verify your Host Accounting System is listed at the top of the Destination Selection window. PrintBoss will automatically install forms necessary for the selects host.

4. Verify the home directory for this installation (usually a server location). The path can be a mapped drive or a UNC path.

5. Select Registration/Activation Only under the Install Type section.

6. Click the Next button.

7. Remove the Demo check mark at the bottom of the Registration window.

8. Fill in the fields.

9. Click Next.

10. Read the Software License Agreement and click Next to agree.

11. Select Online Activation as the Activation Method.

12. Click Next.

13. Click Finish.

PrintBoss will verify the registration is successful.

Automatic Emailing - Bad Address Not Pausing

In PrintBoss, the term 'Bad Address' describes the format of the address, not the validity of the address. For example if there was no @ symbol, PrintBoss would see this as a 'Bad Address.' PrintBoss cannot detect if an e-mail address is incorrect for that employee.

The latest release of PrintBoss includes the following changes:

1. For Accpac users, when reports were openned and edited with Crystal 12, the PrintBoss trigger line (PB#INFO) and the #Assign command were being fragmented when the document was printed. This caused them to no longer be recognized by PrintBoss. A fix for this is included in this release. Now, when the PrintBoss form is loaded it pre-processes the form to concatonate the PB#Assign and PB#Info variables.

2. The Options/Configuration/Legacy tab has been cleanned up so that only the relevant options are available.

3. Error checking has been added to the 'test fax' routine of Local Fax Device so if it fails the dialog can be closed without forcing PB to close.

How to Install New Bank Modules

PrintBoss stores a list of the different Bank Accounts to be used when printing checks. PrintBoss initially installs with 10 entries in the bank list. When more entries are required a PrintBoss Bank Module may be purchased to allow for additional entries.

Each PrintBoss Bank Module adds 5 more entries to the bank list. Once 80 entries have been acquired, the list automatically becomes unlimited. Multiple PrintBoss Bank Modules may be installed at once. If you know that you will need 80 or more entries in your bank list, you can purchase an unlimited bank Module which installs in one simple step to provide unlimited banks to PrintBoss.

The exceptions are PrintBoss Select and the Enterprise Edition of PrintBoss which always have an unlimited number of Bank Accounts available.

Setup and Maintenance of Bank Records

Bank Accounts, or PrintBoss Bank Records, are typically setup in PrintBoss after the application is installed and setup to work with your accounting software.

PrintBoss uses a database of bank accounts, called the Bank List that stores information used to print on the checks. Bank data is not pulled from the accounting software's database.

The information for the account includes the
· Bank Name,
· Bank Address,
· Bank MICR information, and
· Company Information.

The MICR information includes the bank routing number, account number, and check number.

Since PrintBoss can store multiple bank accounts, there is normally some way for the accounting software data to select the correct bank record from the list when a check is printed through PrintBoss.

The latest releases of PrintBoss include the following changes:

Outlook Profile
5.7.0.4
Previously, Outlook profile options were not updated as an email was going out. To fix this a new variable {EMailProfile} was added.


ACH Improvements
5.7.0.4
The Pre-Note override was updated to function correctly. And, the way ACH amounts are divided between the three possible payee accounts was corrected.

5.7.0.5
Previously, if the amount requested for an ACH deposit was more than the amount available PrintBoss credited the next account. This has been corrected such that only the amount available is used. If all of the allotted dollars are used, then subsequent account values are now 0.

Corrected the way {ACHBlockCount} is inserted into the ACH file.

Corrected the way Batch Count is incremented when there are split payments in the ACH record details. If the mode>0 it will increment the counter.


PrintBoss Select for QuickBooks Users
5.7.0.4
A Pressure Sealed check format has been added to the Special Controls tab on the PrintBoss Configuration Dialog box. If an invalid check is selected the OK button is disabled until a valid check is selected. Please note that the custom PrintBoss Pressure Sealed Check form must be purchased for the option to be valid.

Steven, the ENABLE PRINTING ON BACK OF PAGE option in PrintBoss is designed to print text on the Page Back Objects tab of the PrintBoss form. It is not designed to automatically print the second page on the back side of a piece of paper. When the option is activated an additional tab called Page Back Objects will appear in the form editor. Commands entered on this tab will appear on the reverse side of the form.

It is often used when expanitory information that does not vary is always added to a form. A duplex printer is required to use this option and the duplexer option on the printer must be activated. If this feature is activated while using a printer that does not have an activated duplexer, the back page will print as a separate page.

The command #ForceWinPrintJob, when used with the condition noted in Paula's previous post, will in effect collate your documents for duplex printing. The print job coming from PrintBoss will duplex by the document number (ie the variable {DocNo}).

Reprinting Checks

With respect to reprinting checks, there is no difference in the steps you take between Standard PRintBoss and PrintBoss Select. Once you have printed a check, you can view it from your Work file. Open PrintBoss and go to File/ Open Document Work file. Choose your check form and click on Browse. From the Browse screen you can click on the Print button in the upper right hand corner. The Print Dialog box will open. At this point you can reprint one or more checks from the batch. Be sure to first click on the 'Allow Reprints' buttom and then choose which copy you want. Most offen there is only one call 'Original.'

The word 'copy' may appear on the stub portion of the check. That's an optional text object that can be deleted. Or, if you are running a demonstration copy that has exceeded the 30-day trial period, the words 'demonstatration copy' will appear on every document.

According to Microsoft, the registry becomes virtualized when the user does not have sufficient rights to the registry.
The PrintBoss Virturalized Registry message is called when PrintBoss cannot write to HKEY_LOCAL_MACHINE\Software.

After you have installed PrintBoss software and before printing checks the following must be done:
1. Designate the check printer in PrintBoss,
2. Enter your Bank Account information in PrintBoss,
3. Verify the required PrintBoss settings and other common settings,
4. Setup Online Printing in QuickBooks Online
