Subject: RE: Editable PDF's

I recently worked with a Partner who discovered the PDFs can be edited when Security is turned off in Acrobat Professional. Select File/ Properties. Select the Security tab. Change Security Method to No Security to edit the file.

I hope this helps. Please contact us if you need further assistance.

Datatel (Ellucian)Colleague system

Subject: Request for information
- Sorry for the confusion. I was referring to Datatel as being highly customizable.
It only takes minutes to setup PrintBoss, but there is no interface with Datatel 'out of the box' so to speak. We do not have standard forms for Datatel as each college customizes Datatel to meet their needs.
There are 2 ways PrintBoss can be used with Datatel. The first is using the PrintBoss printer driver. We have 2 clients using this method. Their output is formatted consistently (always the same maximum number of lines) and the check is sent to Preview. There are specific settings that need to be selected in Preview before printing to the PrintBoss 50 printer driver. PrintBoss then adds formatting (grids, signatures, bank information) and prints to a physical printer. This method could be tested 'out of the box', but the PrintBoss form will not contain any formatting. It will pass the data to the printer exactly as it is printed from Datatel.
The second method is to use an ASCII file or flat text file. Most of our clients use this method. The ASCII file is saved to a folder on either a network or local computer. PrintBoss is set to 'monitor' the location and process the file once it is saved. Formatting is added during the processing and the result is printed. This method is difficult to test before purchase as we actually need to create the Text Input File Spec to map the data in the text file before PrintBoss can process the file.

Import new entries to the Payee List

paula
Administrator
Thank you for your email. PrintBoss will not replace any entries in the Payee List by design. Once you import additional entries, review the list and delete the duplicates. The list displays in alphabetical order based on the Payee field by default, but it can also be displayed by PayeeID.

We do not recommend exporting and re-importing the existing list as the csv format will remove leading zeros on the Routing and Account number fields.

Improvements have been made to the Payee list since version 5.70.8, specifically assigning and using the PayeeID have been improved as well as sorting and searching. We recommend updating your current version of PrintBoss before importing the additional records.

Copy e-mail configurations

paula

From: Paula Manker [mailto:paula@wellspringsoftware.com]
Subject: RE: Copy email config from one server to another
The answer depends on the 'Save Settings' used on each tab of the E-mail Settings dialog. Below are the locations of the settings based on the 'Save Settings' selection:
Save settings independently for this Windows User (WinUserName), and to this PC (PCName) - When this settings is selected, the settings on the tab are saved in the Current User Registry under Software\Wellspring Software\PrintBoss\Email. The registry settings would need to be exported to be used by another user.

Save as defined in Common Settings file. [{"PBDir>\Email\Settings\Hosts.ini"] - The file name changes with each E-mail Settings tab. For example, in addition to Hosts.ini you will find Adrs.ini, Misc.ini, and SbjBdy.ini. There are 2 settings under the Common Settings file choice. Both are saved in the specified path and can be easily copied to other another server.

The additional choices are:
Save settings in Section named by Windows User Name - This setting saves to the ini file under the WinUserName. Fortunately, the ini file can be edited to replace the WinUserNames with current WinUserNames. Sections can be copied and pasted to expand the settings for additional users.

Save settings in Section named Common User - In the same ini file there is a section at the top for "Common Users" when this setting is selected. All users with the Common Users setting share the same settings. If one user changes the settings, it is changed for all users.
Since these settings can be changed on each tab of the E-mail Settings dialog, you will want to confirm the Save Settings choice on each tab. Be aware that changing the Save settings will not retain the current settings. For example, changing the Save Settings from Independently to Common Settings does not copy the settings from the Current User Registry to the ini file. The settings need to be reselected.

As long as you can see the Company Name and Serial Number, PrintBoss is activated. You should be all set.

Shared Document Archives

paula

Archive Files can be set to be saved by 'WinUserName' to prevent other users from seeing checks they did not print or by 'Common' to share Archives among all PrintBoss users. This option can be set globally or by user and is found under Options/Configuration on the PrintBoss Master Application. 'WinUserName' saves archives by the Windows User Name and Form, where 'Common' saves archives to the same folder and then by Form.

Any Archive set to {WinUserName} will not be available when this setting is changed to 'Common'. These files are saved in the Archive folder of the PrintBoss home directory. Files at the root of the Archive folder are 'Common' and those in sub folders are unique to a user. Files can be moved from one to the other, but moving files with the same name will overwrite the existing files. The files will not concatenate. The one work around is to move the file groups from each individual Archive folder, one user at a time, to a Work folder and manually archive these files using the Archive feature on the Work File Select window within the PrintBoss Master Application. The Work File Select window can be found under File/Open Document Work Files. The Work folder is setup similar to Archive and should always be set to {WinUserName} when there is more than one user. The Archive Files method must be changed to 'Common' before re-archiving each users’ files.

Delay Email Pay Stubs From Sage 300 ERP Accpac

You are correct. The solution is to set the email copy to batch and process the email copy from the work file later. Be careful not to print another check batch to the same PrintBoss Form before the email copy is processed or it will overwrite the work file. The solution for this is to set the Auto-Archiving feature on the Settings tab of the form to a '...Completed Records' selection from the drop down menu.

Abhi - Documents printed to PrintBoss can be sent as email attachments using the PrintBoss email feature. This is an automatic process once email settings are selected. For more information, you may be interested in the 'Setting up E-mail with Sage Accpac' training document on our web site.

Check Printing

The text "Two signaures are required" is typically added through the Work File View as follows:

1. Open the PrintBoss Master Application (PB32.exe).
2. Click on the File menu and select Open Document Work Files.
3. Select the desired work file and click Browse.
4. Select a record in the list (if there is more than 1) and click View. The View displays the formatted view of the check.
5. Right click where you want to add text and choose ‘Insert an Object’, then choose Text. The Text Command Properties dialog opens.
6. Fine tune the coordinates where the text will appear by adjusting ‘Inches from Left’ and “Inches form Top’. You will be able to drag the text object as well after you close this window.
7. Adjust the Font Properties as needed. Typically this text is 8 points or smaller.
8. Type your text in the Text field. Be sure to remove the sample text, “This is your text”, before continuing.
9. Click OK when you are finished.

Remember, you will be able to click and drag this text object once it is created.

Can we add a Printed Page Number to a form?

paula
Administrator
Neil - There is a feature in PrintBoss that allows you to add an incremental number to each document printed by PrintBoss. This feature is on the Settings tab of the PrintBoss form and the option is called "Form Next Number". Select the 'Form Next Number' check box and enter a starting number in the field provided. Then add a Text command to the bottom of the Footer objects tab to display this number. For example:

#Text 8.2R, .25, Arial/10, {FormNextNumber}

The form will increment with each new check printed to PrintBoss.

Note: PrintBoss will not increment documents currently sitting in the work file. The increment occurs when receiving documents.

Different email addresses on different forms

You are on the right track. First, the # sign needs to be outside of the left bracket and only used once. Also, there is a comma after the variable name and no '=' sign. For example:

#[C,1]Assign Emailto, 'jay.converse@gmail.com'

Second, both C,1 and C,2 need to be set to <Email> on the Multi-Parts & Printers tab of the form.

French Characters

paula
Administrator
Unfortunately the issue with the French characters is not consistent and can be caused by an unusual setting in the Regional Settings of the computer or by some other computer setting. The following are possible solutions based on our experience with this issue:
1. The crystal report fields cannot be set to Can Grow.
2. The data in the crystal report must be entered as a formula.
3. The issue can be caused by a corrupt computer Profile. Revert to a previous profile.
A fourth solution is to use the Capture Text as Graphics option in PrintBoss Enterprise. This option can be found on the Settings tab of the PrintBoss form. Select 'Text AND Graphics are captured' from the drop down menu, then check the 'Graphic Image' and 'Graphic Text' checkbox.
The downside of the last suggestion is graphic text cannot be assigned within the PrintBoss form. All assignments will need to be made in the crystal report. Also, the graphic text will not display properly in the Block Mirror section of a cheque.
We hope one of these solutions will solve this issue for you.

Printing check copies based on Bank

paula
Administrator
Thank you for your email. The Form Settings (including Multi-Parts and Printers) are not bank specific. A ProcessPage command can be created to conditionally print a Copy by bank record. The command is entered at the top of the Footer Objects page and will look something like:

#[Copy,1]ProcessPage "[!Inu,"Bank of America", {BCode}]"

The ! before Inu changes to statement to NOT. "Bank of Amercia" is a unique name in the Bank Code field. If this field is not unique, BPrompt ({BPrompt}} can be used instead. The Pre-process Assignments option on the Special Controls tab of the form needs to be set to "Special" as well.
Feel free to call out technical support group if you would like assistance adding this conditional command.

Images on Form

PrintBoss Enterprise accepts graphic images from the crystal report when the PrintBoss Form is set to capture Graphic Images and Capture Text. However, OLE and hyperlinks do not work as the actual link does not get passed in the print job. The text will maintain the color and underline, but the file attached to the OLE link is not called when someone clicks on the text. I should point out PrintBoss Email Body can use html and that can include links, but the form itself cannot read the links.

Customized Report cannot print directly to Printer

paula

This is a Crystal Reports issue, not a PrintBoss issue. However, a few of our Partners have reported that updating the Crystal report to version 2011 (which is vastly different than XI) and setting the printer you want as the default printer under Printer Setup on the crystal report (such as PrintBoss 50), will print properly without printing to Preview.

We were not able to recreate this issue internally, though it affected enough of our users to report this issue on our Forum.

Signature hides part of the signature line

paula

Is the blue box the highlight when you select the signature file in Preview? If so, just double click on the signature file and select the Transparent option on the Pic Command Properties window.

If the Transparent option is already checked, the work around is to move the Signature Line after the signature command. PrintBoss processes commands from top to bottom on the Footer Objects tab. If the #Line command is after the #PIC command for the signature, then the line will print on top of the signature and there will be no gap in the line.

Adjust Footer Objects line 17 for the amount as follows:
#[Assigned,HChkAmnt]Text 8.00R{}, 8.7, "Arial/12", ÷US {HChkAmnt}÷
The result looks like the following as the HChkAmnt variable includes the dollar sign:
US $100.00

Amount in words is harder since this is generated by a function. However, if it only needs to print US Amount after the Word Amount, this can be inserted after the asterisk on Footer Objects line 26. The result looks like:
One Hundred and 00/100 Dollars *** US Amount
I hope this helps. Let us know if you have further questions.

View accent in Block Mirror Section of PB form

paula
Administrator
Viewing your form, I noticed the accents are printing correctly on the middle advice section and the check. The reason the top Block Mirror does not print correctly is because it is a copy of the raw data rather than an image. This can only be fixed by editing the Crystal Report to copy the advice on the top stub as well as the middle.

display accented characters

Usually the cause is a Regional Setting or an issue with how the Crystal report is setup.
The following are some suggestions:

· Fields in the Crystal Report must not be set to ‘Can Grow’.
· The data must be entered as a formula.
· Occasionally the user’s Profile causes this issue.
· Regional settings for Canada have been known to cause issues with French characters.

It would also be helpful if you can provide an TextCapt000.hst file from the root of the PrintBoss folder for further testing. These files range from 000 to 004 and are temporary files. Please send one with a date and time that matches a work file where the issue is evident.

Best Regards,

PB with GP 2013 printer selection feature

We have not found a way to bypass the ‘select printer at runtime feature’. In some cases I have seen GP 2013 print to the PrintBoss 50 driver when it is set up as a System Named Printer regardless of the printer selected in ‘select printer at runtime’.
