A new feature has been added to PrintBoss Enterprise: WorkFlow.

WorkFlow assigns users to review checks prior to printing. Checks are batch printed to PrintBoss as usual, then PrintBoss parses the batch to users for review and approval prior to printing. WorkFlow can be as simple as having one staff user approve or decline a check prior to passing the batch to another user's PrintBoss Work file for printing.

To give an idea of how WorkFlow is scripted, here is an example:
#AssignWorkflow WorkFlow, ">CEO,Bill,Kathy,Acctg",

This WorkFlow will put the document in the first staff user's Work\CEO folder. Then as each subsequent user approves the check it will move to the next user in line, Bill, then Kathy, then Acctg. Your WorkFlow script will be customized to your User Accounts.

You can build a more complex WorkFlow to parse the batch of checks by a variable range for review and approval prior to printing. For example, WorkFlow can be set up to send checks >$100.00, >$500.00 and >$1,000.00 to different staff users for approval and printing. Checks take different paths based on the amount of the check. Script in the Footer Objects tab creates variables and IF statements are assigned the appropriate workflow path.

Approved checks are printed by the last staff user in the WorkFlow. Declined checks are manually deleted or over-written by the next batch. Declined checks are manually VOIDED in the accounting software by accounting staff. A list of the declined checks can be created and printed for reference.

In order to alert each user that there are checks ready for their approval, PrintBoss uses a Tray Utility.

The PrintBoss Tray Utility has several useful features:
  • It monitors a user's Work file to alert the user when a batch is ready for approval.
  • Click on the File menu and select ‘Launch PrintBoss’ or use the button on the front of the utility.
  • Click on the Edit menu to select Configuration. The ‘Scan Interval’ is set in minutes. A ‘Reminder’ can be set in minutes as well.
  • Verify the ‘Run PrintBoss Tray Utility on Windows startup’ is selected. You may want to remove this checkbox if you will be out of the office.
Please note that the use of WorkFlow requires PrintBoss Security be enabled and Advanced User Rights be setup for each staff user.
WorkFlow is documented in the PrintBoss Manual. Setting up WorkFlow is not covered under the standard PrintBoss Software Support Contract. For assistance with setting up WorkFlow, you can contract for dedicated time with PrintBoss Technical Support Staff.

First verify that the PrintBoss bank record is setup correctly for QuickBooks.
1. On the Primary tab, Confirm Check # should be "Auto.....
2. On the MICR tab, Check Number format should begin with a B, either BBBBBB, BBBBBBBB or {BChkNo}

Then as the user's print check from QuickBooks, they will confirm the check number and then confirm it again for PrintBoss. Each user should be certain that the check number they confirm is correct and not just accept the number presented. If a user is not vigilant, the numbering sequence could be thrown off.

Verify one more thing, under Options\Configuration\Settings tab, the setting for Private Folder Names, Work Files should be {WinUserName}.
Each user will have their own Work File and therefore cannot over-write another's Work File.

If you have the Enterprise version of PrintBoss and if you can place a unique data element on the Crystal report that would trigger either an automatic or a manually filed PDF, you could have two PrintBoss copies (not two forms or .rpts) - one that would be for automatic filing of the PDF and another one that you require the manual choice of file location. The unique data would be captured and use in a #ProcessPage command to determine which PB copy to print.

There are a couple of choices:
  • Which version of PrintBoss are you using? PrintBoss Standard only allows ‘Overwrite Existing File’ while Enterprise allows Append. That said, Standard should be appending the PDF file
  • Set PrintBoss to append within a certain number of seconds.

Our guess is suggestion 2 will fix it as long as the PDFs are created by PrintBoss.
You did not indicate if they are using the PrintBoss PDF or a different PDF writer.

Your PrintBoss license can be installed one time from the disk. Depending on where the original install was done, I'd like to clarify the two different scenarios.

1. PrintBoss was loaded on to one single PC for one user and now you want a second user. Here is what you do:


A. Copy the complete PrintBoss folder from the PC to a shared location. Most often this is a server.


B. From the new users PC, go to the PrintBoss folder, which is now on the server. Run setup.exe.
1. Run setup.exe "As Administrator"
2. Verify that the Home directory is the new location
3. Verify that the Install Type is "Workstation / Printer Driver Install"


C. Restart the print spooler service OR restart the PC.


D. Go to the original PC. Navigate to the PrintBoss folder now on the server.


E. Run setup.exe, 'As Administrator" and verifying that the Home directory is the new server location. The install type is "Workstation/Printer"


F. Test from both PCs


G. Delete the PrintBoss folder from the original PC.

2. PrintBoss was loaded on a server originally. (run PB32.exe and go to Help/About to verify where the PrintBoss folder resides.)


A. Log onto the new PC as Administrator.


B. Go to the PrintBoss folder, find setup.exe in the folder, and run as Administrator.


C. Choose Workstation/Printer driver install type. Continue to Finish.


D. Restart the print spooler service OR restart the PC.

As noted, there is a DBF format error in the Work file. A PrintBoss document is comprised of 2 parts: DBF & SMT. Try deleting the user's Work file and print again. This will create a new Work file for that user.

Is this a Windows 10 user? There is a feature in Windows 10, 'Let Windows Manage my Default Printer." If this is enabled, then when you print to PrintBoss 50 it becomes the default printer. For most accounting packages configured to print with PrintBoss, you do not want PrintBoss 50 to be the default printer. The feature is in Windows "Printers & Scanners". Turn it off, select a Default printer. Then go to PrintBoss. Choose the correct printer, and print again.

We can help you add script to your PrintBoss form that would test the email capture for an @ symbol. If the @ was not present, PrintBoss could print that document. That way you'd have a document for reference.

The PrntBoss/Work folder is in a shared location (server) when there are multiple users. In the Work folder typically there is a sub-folder for each user (identified by their Windows User Name. You can rename each user folder, or just start with the user having an issue to troubleshoot.

Three changes to PrintBoss in this release:

1. Increased functionality in the PrintBoss Check Printing Service. Checks can now be batch printed.
2. The password fields for smtp/pop3 E-mailing methods are now a maximum of 150 characters. Prior to this release the maximum was 30 characters.
3. The domain name for FTP accounts increased from 40 characters to 50 characters and the password increased from 30 characters to 75 characters.

TVDM: Without an accounting system, PrintBoss does not know how to format the document, and will send it automatically to an 'unknown' form, which is set to not print. It is held in the user's Work file so it can be looked at in PrintBoss. We use this technique to troubleshoot issues all the time. Unfortunately, this didn't work for you. Most likely your client is not using the required Simply form to generate their checks. Take a look at the setup documentation for Sage 50-Canadian (Simply) to verify their settings. The document can be found in their PrintBoss folder, under DOC. Or it can be found in this forum by searching 'simply'. We are available to any client with a Software Support Contract to troubleshoot their specific issues during our business hours M-F 8:30 to 5:00 central time.

Switching from self hosted to online Quickbooks

We have two PrintBoss products that will work with QuickBooks Online:
1. PrintBoss Select, PrintBoss Standard and PrintBoss Enterprise are licensed base, desk top versions of PrintBoss. This is what your company has currently licensed.
2. Our newest product for printing checks with QuickBooks Online (QBO) is PrintBoss Online (PBO). This is a subscription based service for printing Accounts Payable checks to any printer through our servers. It is secure, safe and flexible. Please note PBO does not print Payroll Checks.

The instructions for printing from QBO to PrintBoss Select/Standard/Enterprise are BROWSER dependent. In general you create your checks, download the file and then print the PDF to PrintBoss 50 driver for processing. Tech Support can help your QBO users setup the process and answer questions as part of your Software Support Contract.

Clients who convert from a desktop email program, such as Outlook, to Gmail (also known as Google Mail) cannot use Gmail as the SMTP address. This is true of AOL and Yahoo as well. These internet sites do not allow their services to be used as a Send Mail only account. Instead the SMTP address provided by the host Internet Provider must be used.

Changed the way the bank select list is filled and sorted so each user's list will appear as they so choose.

Added a #Sort variable to the form macro language. This will sort multiple columns of data as one row across the columns.


Data that is pulled in during the sort will be trimmed when it is finished with the sort. For example:
#Sort 'SaleDate,Vin,Stock,Customer,NetAmntPd',Ascending,Date,20


a. The initial fields are the columns that you wish to sort. The columns can be in any order but it performs the sort on whatever the first field listed.


b. It is important to note that all data across the columns must line up. If a particular row in a column does not have any data it will throw the sort out.


c. The sort order, can be Ascending or Descending


d. The data type to sort values can be T=Text, N=Numeric and D=Date


e. In the example above 20 is the padding that should prepend the value with with spaces, essentially right aligning the text in the field. So this '23456952147' becomes this ' 23456952147' but only for sorting purposes, the underlying data does not change other than what is noted above.


Added the #Assign/#Assigns statements display in the right click popup menu in the Form Editor so that users can find the variables on the form faster. In the "run time" and other editor tabs you will see a "Find Assignments" menu that will show Assign/Assigns variables that exist in that editor.

PDF document Error: Cannot start PDF Document!

If a user is trying to e-mail and receives an application crash with the phrase "Cannot Start PDF Document" in the text, make sure the E-mail Temporary Work Folder is either set to the valid location and that the user has full control. This message appears to be caused by the user not being able to create files within that path.

Also verify there are no commas or characters that will break the file name if the client is using variables in the EmailPDFAlias.
